Absences and Tardies

If your child misses school, it is very important to either call or send a note indicating why your child was out.  Parents/Guardians will have three (3) school days to clear an absence. If proper verification is not provided within three (3) school days, the absence will be recorded as unexcused (NUSD AR 5113) and can not be changed.

If your child has a medical appointment we ask that you schedule the appointment after school.  If this cannot be avoided, in order to make the tardy an excused tardy, please ask the medical office to provide you with a slip indicating your child was at a medical appointment.  Newark Unified Administrative Regulation 5113 does state, “When a student has had 10 absences in the school year for illness, any further absences for illness must be verified by a physician.”  If a doctor’s note is not provided following the 10th illness the absences will be recorded as unexcused.

When a student is absent, he/she misses out on important instructional lessons where key concepts or skills are often introduced.  This puts the student at a disadvantage when he/she returns because of gaps in his/her learning and the need to play catch-up to lessons that have already been taught to the class.  This is especially relevant at the primary grade level where foundational lessons take place every day.

I would also like to bring to your attention that as a California public school, part of Birch Grove’s funding allocation is calculated based off attendance rates.  Our school loses an estimated $67.00 per day each time a student is absent from school.  This could equate to a loss of tens of thousands of dollars every year of money that could otherwise directly support the academic goals of your child.  


When your child misses school, please call the attendance line at (510) 818-3103 for Birch Grove Primary and (510) 818-3603 for Birch Grove Intermediate and provide the following information:

  • Student’s name
  • Student’s room number or teacher’s name
  • Reason for the absence

If you forget to contact the office, the absence will be recorded as unexcused.  After your child has three unexcused absences, you will need to meet with the principal.  Please note that missing regular school days to take a vacation are marked as unexcused.  Please be mindful when planning vacations.  Newark schools lose an estimated $67.00 per student every day they have an unexcused absence.  This much needed revenue is essential in continuing to provide our students with a quality education.



Teachers supervise students for only a brief amount of time after the instructional day.  Please be on time when picking up your child.  Keep in mind that many times teachers and office staff have meetings or other school business to attend to once the instructional day ends.  Dismissal times are as follow:

Birch Grove Primary

  • Monday through Thursday: 2:47 pm
  • Friday: 1:20 pm
  • Transitional Kindergarten (daily): 12:25 pm

Birch Grove Intermediate

  • Monday through Thursday: 2:32 pm
  • Friday: 1:05 pm
